Privacy Policy
This page explains what data we collect when you use RHEKIAN ERP or visit this marketing site, why we collect it, and how you can reach us. It is written in plain language so you know what to expect.
1. Who we are
Pario Digital builds and operates RHEKIAN ERP. We are based in Accra / Nungua, Ghana. For privacy questions, email erp@pariodigital.com.
2. Our two roles
For information about people who use RHEKIAN or contact us, such as account holders, billing contacts and demo requests, Pario Digital decides how it is used. We are the “data controller”. For information a company enters into its own workspace about its customers, staff and suppliers, such as names, phone numbers and purchase history, the company decides how it is used and we handle it on the company’s behalf, as its “data processor”. If you are a shopper and want to see, correct or delete information a shop holds about you, please contact that shop first. If the shop asks us, we will help.
3. What data we handle
Depending on how you use our services, we may process:
- Account data — name, email, and login details you provide when you sign up for RHEKIAN ERP.
- Company data — business name, branding choices, and settings you configure in your workspace.
- Business records you enter — clients, contacts, invoices, expenses, and similar information your team adds to run the product.
- Shop records you enter — products, stock, suppliers, sales, receipts and how each sale was paid.
- Customer details a shop chooses to record — for example name, phone number or business tax number.
- Staff records — see clause 6.
- Message records — see clause 9.
- Demo and contact requests — name, work email, company, phone, and message if you book a demo or write to us from this site.
- Technical basics — standard server logs (for example approximate IP and browser type) needed to keep the site and app reliable and secure.
4. Shop and shopper information we host
If a company uses our stock control and till, its workspace may hold products and stock, suppliers, sales and receipts, how each sale was paid (cash, card, mobile money or bank transfer), the amount, and the payment reference the shop types in, such as a card approval code or a mobile money or bank reference. A shop may also record a customer’s name, phone number or business tax number. We host this only so the shop can use RHEKIAN.
5. Card payments
The till records payments; it does not process them. For card payments, RHEKIAN keeps the card type, the approval reference and, if the shop chooses, the last four digits entered by the shop, together with the amount. Full card numbers, expiry dates and security codes are not requested or stored. Card payments are taken on the shop’s own card machine or card provider.
6. Staff records
For each staff login we keep the name, email, role and a short PIN, which is stored in protected form. We also keep an activity record of actions such as sign-ins, PIN use, price changes, discounts, refunds and stock changes, with the time. The company that employs the staff member decides who sees these records and is responsible for telling its staff about them. We also keep security logs we need to run the service.
7. Why we use it and our lawful basis
- To provide RHEKIAN, bill your plan in GHS and respond to support and demo requests: this is needed to carry out our contract with you or to take steps at your request.
- To keep the service secure and prevent misuse and to improve the product: our legitimate interest.
- To meet legal duties, for example tax and accounting records: a legal obligation.
- For shop records and receipts: the shop decides the purpose, usually to complete a sale, issue a receipt and keep records the law requires.
- For marketing messages from a shop: only with the recipient’s prior consent (clause 17).
We do not sell your data.
8. Keeping customer data to the minimum
RHEKIAN is built so a shop can sell to a walk-in customer without recording any personal details. A shop records a customer’s name or phone number only if it chooses to. We ask shops to collect only what they need, to tell customers why, and not to record sensitive details (clause 18).
9. Messages sent from your email or WhatsApp
9.1 If a company sends messages to its customers using RHEKIAN, the company is the controller and the sender. We act as its processor and send only on its instruction.
Sending messages through a company’s own WhatsApp number is coming soon and is not available yet. When it ships, the same controller and processor roles will apply.
9.2 We hold the company’s connection details in protected form and use them only to send on the company’s behalf.
9.3 We may keep a record of messages sent (date and time, recipient email address or phone number, type of document, and delivery status) for a limited period.
9.4 If a company sends messages through its own email account, they pass through its mail server and the recipient’s email provider. When WhatsApp messaging launches, messages will also pass through the WhatsApp service. These providers handle messages under their own terms and privacy policies, not ours. WhatsApp is a trademark of its owner; RHEKIAN is not affiliated with or endorsed by it.
9.5 Because these providers and our service providers may be outside Ghana, messages and message records can leave Ghana (clause 12).
9.6 If you receive a message from a shop and do not want more, use the opt-out option in the message or tell the shop. You can also write to erp@pariodigital.com and we will pass your request to the shop.
9.7 We cannot guarantee delivery of any message.
10. Digital receipts
A shop can share a receipt by link. The link shows only what is on the receipt, and anyone who has the link can see it until it expires or the shop replaces it with a new link.
11. Who we share data with
We share data only with service providers that help us run RHEKIAN, and only as needed. We list them by category and do not name them here; you can ask us for the current list at erp@pariodigital.com:
- Hosting — keeps the application and its stored information.
- Email delivery — sends our own emails (for example sign-in and account emails).
- Messaging (when WhatsApp messaging launches) — the WhatsApp service a company connects.
- Checkout — handles payment for your RHEKIAN subscription, billed in GHS, under its own terms.
We may also disclose data if the law requires it, or to protect our rights or people’s safety.
12. Where your data is kept and transfers abroad
Our service providers may store and process information in data centres outside Ghana. Messages sent by email, or by WhatsApp once it launches, may also pass through other countries (clause 9). Our providers may use information only to provide their service to us. Your company workspace data stays under your team’s control through role-based access.
13. Security
We use access controls based on roles, protected connections, separation between companies’ workspaces, and activity logs. No system is perfectly secure.
14. If something goes wrong
If we find that personal data has been accessed or acquired by someone not allowed to have it, we will tell the affected company without undue delay and will notify the authorities and, where we are the controller, the affected people, as soon as reasonably practicable, as the law requires.
15. How long we keep information
- While your workspace is active: we keep your account and workspace information.
- After a downgrade: nothing is deleted because you downgrade. Records stay available to view and export (Terms, clause 4).
- After your trial ends without a plan, or after cancellation: we keep your workspace for a limited period after your account ends, after which it is deleted or anonymised, except where the law requires us to keep something.
- Backups: backup copies may remain for a limited period after deletion.
- Message records: kept for a limited period.
- Staff activity records: kept as long as the workspace is kept, because they protect the shop’s cash and stock records.
- Demo and contact messages: kept only as long as needed to reply and follow up.
You can ask us to delete or export what we hold about you where the law allows.
16. Cookies and device storage
This marketing site uses minimal cookies or similar storage, if any — mainly what the host needs to deliver the pages. We do not run advertising trackers on these pages. The product app may use session cookies so you can stay signed in; those are for authentication and preferences only. If a shop uses the till without internet, sales and product information are saved on that device until the connection returns. The shop is responsible for keeping its devices locked.
17. Marketing
We do not use shoppers’ details held in a shop’s workspace for our own marketing. Shops must get prior consent before sending marketing to their customers, by email, WhatsApp or any other channel, and must give a way to opt out.
18. Sensitive information and children
Shops should not record health, religious, ethnic, political or similar details, or information about children, in RHEKIAN. RHEKIAN is for businesses and is not meant for children. If you think this information has been recorded, contact the shop or write to us at erp@pariodigital.com.
19. Your rights and how to ask
You can ask to access, correct, or delete personal data we hold about you as controller, object to marketing, or raise a concern about how we handle it. Write to erp@pariodigital.com and we will respond as promptly as we can. If you have an account, you can also update many details inside the product. For information a shop holds about you as its customer, please contact the shop; we will help the shop respond. You may also complain to the Data Protection Commission.
20. Changes to this policy
If we update this policy in a meaningful way, we will revise the date above and, when appropriate, note the change on the site or in the product.
